We have some exciting news to share that will make your experience with booking easier and more convenient … Brace yourself for some major upgrades!
We’re thrilled to announce that we’re switching to a brand new booking system and scheduling software called JaneApp! We’re taking your therapy journey to a whole new level of convenience and ease.
Here’s why we’re jumping for joy about JaneApp and think you will too:
1️⃣ Online Booking Bliss: Hello to online booking! Now, you can schedule your sessions with us anytime, anywhere, and with just a few clicks.
2️⃣ Real-Time Availability Magic: See our availability in real-time, making it super easy to find the perfect time slot that fits your busy schedule! Less back-and-forth, and more of your preferred appointment times booked.
3️⃣ Waitlist Wonder: Can’t find an available spot? Fear not! You can hop on a waitlist and get notified when something opens up!
4️⃣ Consent and Intakes Made Easy: Complete intake forms online and submit them back without emails! JaneApp guides you through each step of the intake form with just a few clicks.
5️⃣ Quick Payment Processing and Receipts: JaneApp lets you securely pay for your sessions online, so you can focus on your growth and leave the payment worries behind. We will of course continue accepting eTransfer payment for everyone who prefers that method!
Of course, we are always happy to help you book through email, just as you always have. Don’t worry, we’re not leaving anyone behind!
We understand that change can be an adventure, but trust us, JaneApp is user-friendly and we’re here to support you every step of the way. Read on to find out what this change means for you …
“What do I need to do?” you might be asking …
It’s simple! All we need you to do is sign in! We’ve already set up your name and email, you just need to create a login. You’ll get a welcome email that will look like the one on the right … you just click the “Set Up Your Profile” button and follow the steps.
(We know you already did this with our old booking system, and we apologize for the duplication of having to do this part!)

Here’s what your profile will look like when you log in!
You can see all your upcoming appointments, all your waitlist requests (read on for how to add yourself to a waitlist!), see if you have any intake forms to complete, pay your appointment balance and more!

We will need you to complete a *new* Informed Consent Form, as we’ve updated some items there to reflect this booking system change. The beginning of the form looks like this!
In this form, it will ask you to provide your credit card information. Moving forward, we are requiring a credit card to be kept on file in order to book your appointments, but don’t worry! If you prefer to send an eTransfer, or you prefer to input your credit card details after each appointment, you can absolutely still do this.
Your credit card will not be automatically charged until you’ve read the entire Informed Consent, and confirm which payment method you prefer going forward.

“What happens when I book an appointment?”

Just as always, you will receive an email confirmation that looks like this!
From your confirmation email, you can subscribe to your online calendar, and click “Profile Page” to cancel or view your other appointments!
“Will I still get reminders?”

Absolutely. In fact, you’ll get email AND text message reminders (if you choose to enable them!).
Your email reminders will look like this!
From your reminder emails, you’ll be able to CANCEL or RESCHEDULE your appointment if it is outside of the cancellation policy timeframe!
“Are virtual appointments still available?”

Of course! Sheena will continue to use ZOOM as her preferred video appointment service.
When you book an appointment, your confirmation email will have all the links/passcodes you need to access the video at your appointment time. Don’t worry, you’ll also see this information in your reminder emails!
All Associates will be using JaneApp’s built in video system!

Here’s what that looks like …

When you book an appointment, it appears in your “upcoming appointments” on your online profile. Shortly before your virtual appointment, a “Begin” button will appear to the right of the appointment. Click when you are ready to join your session! (Don’t worry, you can click it in advance, you’ll wait in a virtual waiting room until your appointment time!).

You can also begin your appointment from your reminder email!

Once you click “Begin”, you will be automatically redirected to the confirmation page, where you’ll read instructions and consent to start your appointment. Scroll down to the bottom of the page and click the button that says “I Consent, Begin My Appointment”!

Just like in Zoom, you will sit in a virtual “waiting room” and your therapist will begin your session at your start time.
Easy peasy!
“I want to book online!”
Yay! This couldn’t be easier. Throughout our website (on the “Psychotherapy” and “Associates” pages!), you’ll see a button that says “Book An Appointment”.

The button will take you to an online booking page that looks like this!

Choose your RN, Psychotherapist to see their appointments, schedule, and availability …
Click the appointment you want to book, click the date/time you want to book, and follow the pop-up steps to book the appointment!

“The date and time I want to book is already booked … can I be added to a waitlist?”
We’re so glad you asked!
At the bottom of your RN Psychotherapist’s schedule, you’ll see a button that says “Add yourself to the waitlist” to click.

Choose a date range, timeframe, and any notes you want to tell your RN Psychotherapist!

“What about my appointments I’ve already booked into the future?!”
Don’t worry! They’re all there and you will get some confirmation emails once they have been added as extra reassurance – your appointments aren’t going anywhere!
We absolutely know that adjusting to a new system will take some time!
